Arrival information

We are welcoming arrivals for students who have secured on campus accommodation from January 2025 from Saturday 4 January 2025 - Saturday 18 January 2025.

All students must complete the mandatory online accommodation induction and book a time slot through the accommodation portal to arrive onto campus and collect your keys. Please do not arrive onto campus without accommodation secured. We cannot accept any early arrivals prior to the contract start date (4 January 2025). 

Unfortunately, we are unable to accommodate any out of hours arrivals. If you are unable to arrive within your booked arrival slot, please arrange alternative short-term accommodation for the night and arrive onto campus the next day. 

In order to check-in please arrive to our Main University Reception and provide any form of ID e.g. passport, and a copy of accommodation confirmation letter (hard copy or electronic on your phone, laptop, tablet, etc.)

Please note, you must check into accommodation by Monday 27 January 2025. After this date accommodation contracts will be cancelled. 

Pre Arrival FAQ's

I’m struggling to book my arrival slot - What do I do?

If you're having trouble booking your arrival slot, try these steps:

1. Refresh your screen.

2. Clear your browser cache.

3. Use a different web browser.

If the problem continues, email your arrival date and time (between 09:00 and 17:00) to halls@hw.ac.uk, and they can book it for you. Please note the University will be closed for the festive break from 23 Dec 2024 - 03 Jan 2025. 

How do I get my address? I wish to post items before I arrive.

You will be emailed a room assignment letter shortly before your arrival. If you do not receive this, you will be provided your hall and room number upon arrival. Please note we are unable to accept any parcels on your behalf prior to arrival. Please do not send any parcels in advance, you must be an in house student to receive your parcel. 

How do I get to the University?

It's easy to reach our campus by car and public transport, whether you're travelling from elsewhere in Scotland or further afield. Please see our webpages for all information on how to get to our Edinburgh campus.

Where and when do I go for key collection?

Key collection is from the University Main Reception. Please note students must book a slot for check in before arrival onto campus. This can be booked once accommodation in secured through the induction tab in the accommodation portal.

Can someone collect my key for me?

The University can only release keys to the student contracted to the accommodation. We are unable to pass these onto a friend or family member.

My parents/ friends will be coming with me for arrival. Where can they stay?

We have a small number of rooms within a short-term block of accommodation on campus. Please email frontdesk@hw.ac.uk. Alternatively, please see information on short term accommodation options in Edinburgh.

I don’t have accommodation booked/ I’m arriving out of hours. What do I do?

Please do not arrive onto campus without accommodation secured. You are required to apply online and complete the process of accepting an offer, paying an advance rent fee and booking an arrival slot before arriving.

Will my room have a view?

We can't guarantee a view from every room, but our campus is beautiful with lots of open spaces to enjoy the outdoors.

Arrival FAQ's

Can I park onsite when I arrive?

When you arrive at your accommodation, you can park in areas A, B, G, H, or J. However, students who live on campus are not allowed to keep a car there for their entire stay, according to the tenancy contract rules.

I have checked in and there are issues with my room. How do I report this?

For emergency maintenance (like power outages, securing rooms, or leaks), call SafeGuarding at 0131 451 3500.

For non-emergency maintenance, use the QR code in your kitchen to log and report issues or use this form.

General repairs are handled by our Estates department after you log them in our system. For more information, visit WattLiving.

How do I connect to the Wi-Fi?

Our internet is provided by Glide. When you arrive, you'll find information leaflets in your room with details on how to join the student network.

I require proof of address to open a bank account - Where do I get this?

You will be emailed a room assignment letter shortly before your arrival. If you do not receive this please e-mail halls@hw.ac.uk once you have arrived and this will be provided. 

Can I get re-used items from previous residents when I arrive?

Yes, you can get items left by previous residents. The Chaplaincy often has kitchen items from former students.

Who can I speak to if I need some support whilst I’m living on campus?

If you need support while living on campus, you can talk to the Residence Life team. They help resident students.

Important things to do after you move in

1. Submit your room audit within 7 days of arrival. Please note this will be emailed to you.

2. Register with the GP on campus.

3. Set up your accommodation payments. Please note invoices will be visible on your student account within 7 days of arrival.
